Job Description
Overview Of Department

Aviva World is a global intranet that provides a single platform for all Aviva employees to collaborate and communicate across the organisation .  It is designed to knit the various strands of the Aviva business into a better informed and more effective group. Aviva World was installed in October 2008 and is undergoing continuous enhancement to develop it as a world class collaboration tool with global applications, communication and supporting services.

Purpose:

In order to fulfil Aviva’s objectives and to facilitate the group internal communications strategy and objectives it is essential that the group internal communications team have timely and appropriately skilled Sharepoint and multi-media support.   This f unctional support analyst will be responsible for providing support directly to the group internal communications team, to design and implement out of the box Sharepoint change within the guidelines and defined processes of the Design Authority for Aviva World.

This person will also be called upon to guide and advise the group internal communications team in terms of the ‘art of the possible’ and online plans and strategies going forwards with Aviva World and online communications and other related media such as video.

Responsibilities:

Operational

·        Support delivery of Aviva World through the provision of functional expertise to Group internal communications

·        Development of the corporate Aviva World global site structure and functionality, liaising with internal customers and undertaking functional analysis of their business requirements

·        Actively seek out opportunities for improvement of current functionality and new ways in which it can be applied to satisfy various business needs.    

·        Regular tasks include:

    • creating new sites and explaining usability and accessibility best practice to i-comms team , including improving user experience
    • investigating problems with existing functionality, providing alternative solutions using out of the box functionality
    • Developing innovative user interfaces and graphics
    • Occasionally providing 3 rd level support Assyst, an incident tracking system
    • Building new sites, sections and special features that are visually appealing and great to use
    • Finding innovative solutions to technical problems
    • Attending training sessions to advance your work within Aviva’s wider technical team
    • Relevant research and development, leading to future innovation and creative solutions to keep Aviva ahead in terms of online communications

About The Role

Key Outputs:

·        Provision of functional expertise to Group Internal Communications team

·        Development of Aviva World global site structure and functionality using out of the box features and prioritising on a case by case basis

·        Developing and exploiting Aviva TV (online video delivery etc.)

·        Making A Day a greater success than ever before (online global event for all 54,000 employees)

·        Implementing and advising on Sharepoint 2010 to   drive out its full potential

·        Embracing social media on the site and finding new ways to use and encourage it, to support our group internal communications agenda

·        Building applications and sites for the World Cup, and other Aviva World communication campaigns

·        Available to occasionally work outside of normal office hours, to support major announcements or communications, such as A Day

Reports to:

·        Head of group online internal communications

Key relationships other than those within reporting lines:

·          Group internal communications team

·          Aviva World functional team, CoE and Design Authority

·          Aviva World collaboration, knowledge management and strategy team

·          Regional functional teams

·        LITS

Experience Skills & Qualifications

Qualifications:

·        Graduate or equivalent

Experience:

·          Experience in the design and delivery of MS Sharepoint   2007 (MOSS) solutions and if possible Sharepoint 2010

·          Interest, understanding and preferably experience of working with multi-media such as video, Flash and Photoshop etc.

·        Experience of working on IT-enabled change projects

·        Experience of communication, collaboration and content management solutions, specifically on an intranet

·        Consistent record of achievement

·          Experience of working with third-party APIs within Sharepoint

·        Ability to work with and build communities

Skills/Knowledge:

·        Planning and organisation skills,

·        Abilty to remain calm under pressure

·        Analytical abilities - able to share insights rationally, honestly and with a high degree of integrity.

·        Communication skills – excellent written and verbal communication

·        Personal credibility with colleagues

·        Knowledge of intranet and multi-media tools and technologies, including user experience best practice an advantage

·        Knowledge of intranet publishing, including content management best practice an advantage
