| Job Description |
Job Description As Executive Assistant to the Head of Eurozone and Business Development this busy role will provide you with full involvement and ownership of personal assistance- Responsibilities - Diary management and planning which involves working with internal/external senior executive personal assistants-
- Monitor email Inbox - prioritise emails and highlight those of an urgent nature
- Monitor email Outbox, using initiative to follow up on and monitor action points
- Travel arrangements including co-ordinating with the overseas offices with regards to flights, transfers, meetings, dinners
- Printing meeting materials as and when provided
- Assist with Powerpoint presentations
- Complete T&E claims
- Assist with organising team dinners, offsite events and conferences
- Provide full secretarial cover including telephone and correspondence screening, maintaining filing system and ordering stationery
- Assist with arranging itineraries for GTS Heads visiting from overseas offices
- Assist with organising team dinners, monthly board meetings and conferences
- Covering other Secretaries as and when (during holidays and off sick)
- Provide business management support, supporting the infrastructure across 24 countries
- Management of Senior Managers busy diaries, ensuring that the most effective use is made of their time- This will involve reading regularly their emails (for any meetings/conference calls/trips etc) handling requests for appointments and amendments and frequent liaison with both internal and external clients
- Provide support infrastructure across the teams reporting into the senior managers, which cover 24 countries in EMEA
Will be required to raise awareness and build relationships with GTS Heads and sales teams in each country The Individual - The ability to plan ahead and remain calm and efficient
- A flexible approach to work is a prerequisite
- Must be capable of working proactively
- Banking experience preferred
- Solid senior management support experience
- Confidence, Flexibility, Reliability, Discretion, Diplomacy
- Ability to interact confidently at all levels
- Proactive and flexible approach with limited need for direction or supervision
- Ability to multi-task and manage ever changing and conflicting priorities
- Strong written and verbal communication skills
- Ability to work effectively in a pressured and stressful environment
- Good Standard of Education preferably followed by Secretarial College or equivalent Advanced Outlook, Word, Internet, Power Point, Excel
- Excellent communication skills written and oral, presenting a professional and articulate persona at all times
- Must also be clear, confident and polite dealing with internal and external parties at all levels, both face to face and by telephone
