| Job Description |
Scope and Purpose: To provide valuable support to Sector Head, Marketing Analysts and Analysts of each team utilising excellent interpersonal and organisational skills, to be able to prioritise and multi-task, often working to very strict deadlines- Administration: - Organisation of internal & external client meetings
- Room and lunch bookings
- Global travel bookings for all analysts, ensuring most cost effective price available (adhere to Company travel policy)
- Foreign currency organisation
- Reconciliation of expenses
- Invoice processing
- Minute taking at internal meetings, if required
- Managing team diaries
- Maintain analysts' diaries/ liaising with local offices
- Answering of phones
- Ordering Business Cards
- Prepare analysts' marketing itineraries
- Opening and distribution of post
- Hospitality arranging (client entertainment for events/conferences)
- Organisation of conference calls
- Book taxis
- Respond to internal and external requests for information
- Filing
Product and Marketing duties: - Production and compilation of internal and external marketing presentations using Powerpoint
- Maintenance & distribution of the relevant product list (Excel)
- Maintenance & distribution of corporate events calendar (New Issue Calendar, Company AGM's, results etc )
- Maintenance & distribution of the relevant team databases (e-g- client lists)
- Ticksheet maintenance (client contact data)
- Co-ordinate with Newsdesk on forthcoming events and input team material (results estimate)-
- Using GRS template, responsible for formatting Research notes, tables and charts to house style
- Compiling daily notes and submitting to GSS within time constraint
- Extensive Web research, referring to company websites and ABN intranet sites
- Collation of figures from Bloomberg/Datastream/Reuters/Thomson
- Research and diarise all sector events
- Type Q & As from company meetings
- Client relationship feedback to CAM desk
- Logging of client reviews and rankings for team awareness
The Individual - Previous experience required
- Ability to work in a pressurised environment
- Computer literate with advanced Excel, Word & Powerpoint experience
- Knowledge of Datastream, Reuters, Bloomberg or Thomson one
- Professional, articulate and numerate
- Ability to work flexible hours
- Self-motivated, able to get on without strict administration
- Good inter-personal skills and team work
